Privacy Notice for RICOH Integrated Cloud Environment ("ICE")

Ricoh USA Inc. ("Ricoh") respects your privacy and recognizes your need for appropriate protection and management of any personally identifiable information ("Personal Information") you share with us. Ricoh has established this Privacy Notice for Ricoh Integrated Cloud Environment ("ICE") so that you can understand how we intend to use and treat your Personal Information in the United States, and about the choices you can make in the way your information is collected and used. This Notice only describes Ricoh's collection, use and protection of information that you create while using ICE and does not cover the Ricoh's websites or the use of any other Ricoh products or services. 

Changes to this Notice

At times it may be necessary for Ricoh to make changes to this Privacy Notice. Ricoh reserves the right to update or modify this Privacy Notice at any time without prior notice and any changes will be effective immediately upon posting. Please review this Notice periodically. This Privacy Notice was last updated on January 22, 2019. Your continued use of ICE after any changes or revisions to this Privacy Notice shall indicate your agreement with the terms of such revised Notice.

Information Collected

By accessing and using ICE, you consent to the collection, use, disclosure, storage, and processing of any information you have provided. The information that you provide to Ricoh, and that Ricoh may store and use, may include (1) your email address and contact information, (2) Third-Party Service Data, including Access and Refresh Tokens (as more fully described below), and (3) Usage Data.

All of the information Ricoh collects about you may be combined to improve our communications with you, and to develop world-class products and services. Information we collect from you allows us to communicate with you, process your orders or provide you with services.  This information we collect may include Personal Information, such as your name, contact and billing information, transaction, and credit card information.

When you do provide us with Personal Information, we usually use it to respond to your inquiry, process your order or provide you access to specific information, services or offers.

Please note that Personal Information collected about you may be stored and processed in the United States or any other country in which Ricoh or its subsidiaries, affiliates, agents or partners maintain facilities, and by using this website, you consent to any such transfer of information outside of your country.

Third-Party Service Data

Google Drive

ICE allows you to connect with your Google Drive accounts ("Third-Party Services") via OAuth Access and Refresh Tokens.  Your use of Third-Party Services are optional but are required for Ricoh to provide certain services, such as uploading Scanned documents to selected folders in Google Drive or printing documents from Google Drive.


ICE allows you to Fax documents using your eFax Service. This is achieved by sending Scanned document as an Email to eFax Service using your GMail Account. Scan to eFax application, connects with your GMail account ("Third-Party Services") via OAuth Access and Refresh Tokens.  Your use of Third-Party Services are optional but are required for Ricoh to provide certain services, such as Faxing Scanned documents through eFax Service using OAuth Tokens of your GMail Account.

You may revoke your consent to the use of Access and Refresh Tokens at any time from the 'Settings' pages of your Third-Party Services. The Access and Refresh Tokens are stored on Ricoh's server(s) in a manner so they are accessible only by Ricoh's ICE application.

Usage Data

ICE automatically records information created by your use of the application ("Usage Data").  Usage Data may include your ICE Organization ID, Scan Settings, number of pages Scanned and/and OCR Settings. Note that we will not store any scanned images, unless a customer has requested us to do the diagnosis.

Ricoh collects Usage Data to improve the ICE application (eg. by identifying the least or most used features by our users) as well as to protect our servers from any malicious activities such as denial-of-service attacks.
